How to Run AI Needs Analysis on an Opportunity

Let AI read every note, call transcript, and email — then generate a full needs analysis with recommended products, deliverables, and a closing strategy.

After several calls, emails, and meetings with a prospect, you have a wealth of information scattered across notes, transcripts, and threads. The AI Needs Analysis reads all of it and generates a structured breakdown — in one click — so you know exactly what to quote and how to close.

Running the Analysis

Open any opportunity and scroll to the Needs Analysis card. Click Generate Analysis. The AI reads every note, call transcript, email, SMS, and discovery answer on the opportunity, then generates a complete analysis.

What the Analysis Includes

The output is broken into clear sections:

  • Executive Summary — a plain-language overview of the client's situation and what they need
  • Callout — the single most important takeaway, useful for proposals
  • Identified Needs — specific needs the AI found, each paired with a recommended solution
  • Recommended Products — products from your catalogue that address the needs, with real pricing
  • Guaranteed Deliverables — what the client will receive if they proceed
  • Closing Strategy — personalised tips for closing this specific opportunity, based on the client's communication style and decision-making process

Creating Documents from the Analysis

Once the analysis is complete, click Add on the Documents card in the sidebar to create a new proposal or quote pre-filled with the analysis data. You don't start from scratch — the executive summary, pricing, and deliverables are already there.

Re-running the Analysis

As the opportunity progresses and you have more conversations, click Re-analyse to regenerate the analysis with the latest data. The more information on the opportunity, the better and more specific the output.

Customising the Proposal Builder voice

If you prefer to configure these settings in the UI, go to https://app.trustpager.com/settings/crm?section=needs-analysis — all the fields below are exposed there as labelled inputs. The rest of this section covers the MCP / API path for power users and connected agents.

To see your current configuration, call get_crm_settings() and look for the needs_analysis block. To update it, call update_crm_settings({ needs_analysis: { ... } }) with any combination of the fields below — fields you omit are left unchanged.

  • business_context — a plain-English description of what your business does and who it serves. The AI uses this to frame every analysis in your industry language.
  • tone — the writing register for the output. Common values: professional, conversational, direct.
  • proposal_style — how the recommended products and deliverables are presented. Common values: detailed, concise, consultative.
  • custom_instructions — free-text instructions that are appended to every analysis prompt. Use this for house rules like "always recommend the premium tier first" or "never mention competitor products".

Settings are workspace-wide and take effect on the next analysis run. Existing saved analyses are not retroactively updated — re-run any opportunity to apply the new voice.

Tip: The quality of the analysis depends directly on the data on the opportunity. Log your calls, save your notes, and keep discovery answers up to date — the AI uses all of it. A well-documented opportunity produces a significantly better analysis.
