How to Connect Your Gmail Inbox (Including Team Inboxes)

Connect one or more Gmail accounts to TrustPager so inbound email lands in your workspace inbox. Assign multiple aliases per workspace, share a team inbox across users, and keep TrustPager in sync with Gmail's read status automatically.

TrustPager reads email directly from connected Gmail accounts, so inbound replies, prospect enquiries, and team inboxes like info@ or support@ all land in the CRM against the right contact — no forwarders, no duplicate work. You can connect multiple Gmail accounts per workspace, and multiple aliases from a single Gmail account to the same workspace.

Connecting Your Personal Gmail

Each team member connects their own Gmail at https://app.trustpager.com/account/connect. Click Connect Gmail, sign in with the Google account you want to use, and approve the permissions. Once connected, your Gmail inbox is watched for new messages — anything sent to or from addresses linked to you shows up in the TrustPager inbox, threaded against the right contact and opportunity.

On the same page, you'll see every send-as alias your Gmail has configured. Tick as many as you want for each workspace — all of the ticked aliases route inbound to that workspace, and any of them can be used as a sender when you compose an email.

Assigning Multiple Aliases to One Workspace

A single workspace can have many aliases from the same Gmail account — for example, advisor@yourcompany.com AND info@yourcompany.com both routed to the Resolve workspace. Emails to either address appear in the same TrustPager inbox, and the compose picker lets you pick which one to send as.

Each individual alias can only belong to one workspace at a time. If you try to tick an alias already assigned elsewhere, you'll need to uncheck it on the other workspace first.

Setting Up a Shared Team Inbox

If your business has a shared mailbox — info@, hello@, support@ — that you want your whole team to see inside the CRM, the cleanest way is to connect it as its own Gmail account.

Invite the shared inbox as a user of your workspace at https://app.trustpager.com/settings/team, using the shared inbox's email address (for example, info@yourcompany.com). Once invited, sign into TrustPager as that user and connect their Gmail at https://app.trustpager.com/account/connect. The shared inbox now has its own watch — every email into info@ flows into the TrustPager inbox alongside your personal mail, routed to the same workspace.

Team members who need visibility can all read the same inbox in TrustPager — no-one needs to check Gmail separately.

Adding a Send-As Alias From an Existing Gmail

If the shared inbox is already a send-as alias on an existing team member's Gmail (for example, Doug's Gmail can send as both advisor@ and info@), you can use it that way without inviting a second user.

First, make sure the alias is set up correctly inside Gmail itself — Google's own Send mail as settings. For incoming routing to work, Gmail also needs to actually deliver mail for info@ into the existing inbox — that's typically handled with Google Workspace email forwarding or delegation, configured on the Google side.

Once the alias exists in Gmail, head to https://app.trustpager.com/account/connect, reconnect the existing Gmail (or refresh aliases), and the info@ alias will appear in the tick list. Check it for the workspace where inbound email should land.

Note: Inviting the inbox as its own user is cleaner and doesn't require any Google-side configuration. Choose the alias path only when the shared mailbox is already an alias in Gmail and you don't want a separate user account.

How Threading and Routing Work

TrustPager matches incoming emails to existing threads using four strategies — Gmail thread ID, Message-ID references, subject line and participants, and recent conversation history — so replies land in the right place whether they came in through your personal inbox, a team inbox, or any send-as alias.

Which inbox an email arrived in doesn't affect threading or automation. The email_received automation trigger fires regardless of which Gmail inbox received the message. What matters is the recipient address — TrustPager checks the recipient against the aliases assigned to your workspace and routes the email accordingly.

If you're in multiple workspaces, each alias can be assigned to a different workspace at https://app.trustpager.com/account/connect, so info@ goes to one and sales@ goes to another without overlap.

Read-Status Sync (Gmail → TrustPager)

When you read or mark unread a message in Gmail, TrustPager reflects that change automatically — usually within 10 to 15 seconds. The sync is one-way: reading in Gmail updates TrustPager, but reading a thread in TrustPager does not currently update Gmail.

In practice this means if you check email in the Gmail app on your phone or in a Gmail tab on desktop, your TrustPager inbox stays in sync without any extra effort. If you prefer to read in TrustPager, you'll occasionally want to mark threads read in Gmail too if you want Gmail's inbox counter to reflect what you've seen.

The sync is enabled on every connected Gmail automatically — no extra setup needed.

Troubleshooting

Emails aren't appearing in the TrustPager inbox. Go to https://app.trustpager.com/account/connect and confirm the Gmail integration shows as connected — OAuth tokens can expire. If an alias isn't ticked for a workspace on that page, emails to that address won't be ingested.

Shared inbox ingestion isn't working. For shared inboxes connected as a second user, the Gmail OAuth must be on the user who actually owns the shared inbox. Connecting on the wrong user means nothing comes through.

Gmail read state isn't syncing to TrustPager. The sync usually takes 10 to 15 seconds. If threads stay marked unread in TrustPager after you've read them in Gmail, try disconnecting and reconnecting Gmail at https://app.trustpager.com/account/connect to refresh the push subscription.

Tip: You can connect multiple Gmail accounts per workspace — one per team member, plus shared inboxes as their own users — and assign multiple aliases to one workspace. Every connection has its own watch, and all of them feed the same TrustPager inbox.
