How to Use the CRM Calendar

See all your scheduled events, bookings, tasks, and opportunity reminders in one place. Switch between week, fortnight, and month views, filter by team member or event type, and click anything to edit it.

The Calendar gives you a single view of everything scheduled across your CRM — opportunity reminders, bookings from clients, Google Calendar events, tasks with due dates, and work orders. Open it at https://app.trustpager.com/tasks/calendar.

What Shows on the Calendar

Each day cell can contain any combination of five event types:

  • Reminders — Next actions set on opportunities (follow-up calls, proposal due dates, etc.).
  • Bookings — Client bookings made through your scheduling pages, shown with the event type colour and location type (video, phone, or in-person).
  • Google Events — Meetings synced from any team member's connected Google Calendar.
  • Tasks — Tasks with a due date set on any opportunity.
  • Work Orders — Work orders with a scheduled date (if Work Orders is enabled for your workspace).

Within each day, events are sorted by time. Google Calendar events and bookings appear first (chronologically), followed by tasks and work orders.

Switching Views

Use the segmented control in the top right to switch between Week, Fortnight, and Month. The view you choose persists between sessions.

  • Week — Full detail on each event, with time, title, and opportunity name visible at a glance.
  • Fortnight — Compact two-week grid, good for planning and spotting busy periods.
  • Month — High-level overview. Each day shows up to three items; hover any "+N more" chip to see the rest in a popover.

Navigate with the arrow buttons or click Today to jump back to the current week.

Filtering What You See

Two filters sit above the calendar grid:

  • Team member filter — Click the people icon (defaults to "Everyone") to narrow to one or more team members. Useful for reviewing a colleague's week or checking your own schedule without noise from the rest of the team. Filters by the assigned user on bookings, Google events, tasks, and work orders.
  • Type filter — Click the filter icon to toggle individual event types on or off. Hide tasks if you only care about meetings, or hide Google Events if you want to focus on CRM activity. Both filters persist across page reloads.

Clicking to Edit

Every item on the calendar is interactive:

  • Reminders (opportunity next actions) — Click to open the Next Action editor. Change the title, date, time, or type (reminder, Google Meet, or a custom event type). The change saves to the opportunity immediately.
  • Bookings — Click to open the Booking Detail panel, where you can see the client's details, mark attendance, or view the linked Google Meet.
  • Google Events — Click to open the event detail modal with the meeting title, time, location, and a link to Google Calendar. (Events marked "Busy" from other team members cannot be opened.)
  • Tasks — Click to open the Task editor. Update the title, priority, due date, or mark it complete.
  • Work Orders — Click to open the Work Order detail panel.

Adding Events from the Calendar

Two buttons sit in the top right of the toolbar:

  • Add Task — Creates a new task (optionally linked to a work order if Work Orders is enabled).
  • Add Event — Creates a reminder, a Google Meet, or a booking for any of your active event types. Select the event type from the dropdown and fill in the details. Bookings created here are logged directly against the selected opportunity.

Google Calendar Connection

Google Calendar events only appear if at least one team member has connected their Google account. Connect yours at https://app.trustpager.com/account/connect. Once connected, choose which workspaces can see your calendar from the same settings page.

If a booking was made through TrustPager's scheduling pages, it appears as a Booking (not a Google Event) — even if it created a Google Calendar entry. This avoids duplicates and gives you the richer booking detail (client name, linked opportunity, notetaker status).

Tip: Use the team member filter to review what's on someone's plate before reassigning work. Select their name, switch to Week view, and you have their full schedule in one look.
