How default recipients work across email, SMS, forms, signing, and work order modals on an opportunity — and what to expect when multiple contacts are involved. Includes shared forms for co-applicants.
When you open any send modal from an opportunity — email, SMS, form invitation, document signing, or work order status — TrustPager pre-fills the recipient fields with the contacts linked to that opportunity. If no contacts have been marked as default recipients, the primary contact is used.
Open an opportunity and click any of the send buttons in the right panel. The modal opens with recipients already filled in based on the opportunity's linked contacts.
You can add or remove recipients before sending — the pre-fill is just a starting point, not a lock.
To control which contacts are pre-filled, go to the opportunity's Contacts tab and mark the relevant contacts as default recipients. For joint applicants, mark both.
Email compose — the primary contact is set as the To recipient. Additional default recipients are added as Cc. Everyone receives the same email.
Email reply — same as compose: primary contact is To, additional contacts are added as Cc on the thread.
SMS — each selected contact receives a separate, individually addressed SMS. Merge tokens like {{contact.first_name}} resolve against each contact's own record, so personalisation works as expected.
Form invitations — when you select two or more contacts, they are all invited to the same shared form. There is one submission for the opportunity, and every invited contact reads and writes the same answers. Each person receives their own secure link with their own PIN, but all links open the same submission. Any of the invited contacts can submit. This is designed for joint applicants — one person fills their section, the next opens their link and sees what is already there, completes the rest, and either can submit. Document signing envelopes — selected contacts are added to the signer list automatically. They all sign the same document.
Work order status updates — each contact receives their own portal link with their own secure PIN. All contacts can view the work order, but each accesses it independently.
The Send Form automation action includes a Send To option called All Contacts. When selected, TrustPager automatically sends the shared form invitation to every contact linked to the opportunity at the time the automation fires — no manual recipient selection required. The other Send To options (Primary Contact, Company, Supplier) are also available if you only want to target a specific role.
When multiple portal members are on the same opportunity, they automatically collaborate on one shared form — no configuration required. TrustPager finds or creates the shared submission automatically when any portal member opens the form. Each member logs in with their own portal credentials, sees the current state of the shared answers, and can fill in or submit.
When two or more contacts are Cc'd on a single email, merge tokens like {{contact.first_name}} resolve against the To recipient only — that is how email works everywhere, not a TrustPager limit. A small reminder appears in the compose modal whenever you add 2+ Cc recipients. For joint applicants the simplest fix is a generic salutation like "Hi both", or writing both names directly. If you need fully personalised content for each contact, send the emails one at a time. SMS, signing, and work order status each address recipients individually; forms use the shared-submission model described above.
From the opportunity, go to the Contacts tab. Next to each contact, you will see a toggle or star to mark them as a default recipient. Contacts marked this way will be pre-filled whenever you open a send modal from that opportunity.
If no contacts are marked as default recipients, the primary contact is used as the fallback.
