How to Send & Track Emails

Send one-off emails to contacts with open and click tracking, attach files, use templates, and schedule sends. All from within the CRM.

Send a one-off email to any contact directly from their record, an opportunity, or the Inbox, with open and click tracking built in.

Sending an email

Open any contact or opportunity and click the Email button, or go to https://app.trustpager.com/inbox and start a new email thread from there.

Add your subject and body, then hit Send. Every workspace can send straight away via TrustPager Mail, with no setup required. If you would rather send from your own inbox, connect Gmail at https://app.trustpager.com/account/connect and it will appear as an additional send-from option in the composer.

Attaching files

Click Add Attachment at the bottom of the composer to attach one or more files (PDFs, images, documents, and more). The total size limit is about 7 MB when sending via TrustPager Mail, or 25 MB when sending from a connected Gmail inbox.

Using templates

Click the Templates button in the composer to insert a saved CRM template. Templates support merge tokens like {{contact.first_name}} and {{opportunity.title}}, which are filled in automatically at send time. Manage your templates at https://app.trustpager.com/crm/templates.

Tracking opens and clicks

Tracking is on by default for all outbound emails sent through TrustPager. When a contact opens the email or clicks a link, an activity is logged against their record automatically. You will see these in the contact's activity feed and in your email thread.

To turn tracking off for a specific send, uncheck the tracking toggle in the composer before sending.

Schedule send

To send at a later time, click the arrow next to the Send button and choose Schedule send. Pick a date and time, then confirm. The email lands in the Dispatcher queue at https://app.trustpager.com/inbox/dispatcher where you can review or cancel it before it fires.

Viewing sent emails

All sent emails are visible in the contact's activity timeline and in the full thread view at https://app.trustpager.com/inbox. The thread view shows read receipts, reply threads, and delivery status.

Troubleshooting

  • Want to send from your own email address? By default, emails send via TrustPager Mail with no setup needed. To send from your own address instead, connect Gmail at https://app.trustpager.com/account/connect. Workspace admins can also connect team inboxes.
  • Tracking shows no opens even though the contact replied: some email clients block tracking pixels. A reply still appears in your inbox thread even if the open event was not captured.
  • Scheduled email did not send: check the Dispatcher at https://app.trustpager.com/inbox/dispatcher. If it moved to History with a failed status, open the thread to see the delivery error.
